Room Rentals

Renting a Room at NVDPL

We are happy to make our spaces available for enjoyment by members of our community. Please see below for important information about room bookings.

Lynn Valley Program Room

  • Availability: Tuesdays 5:00–7:45 pm; Thursdays 5:00–7:45 pm; Saturdays 1:00–5:00 pm; Sundays 10:30 am–1:30 pm. Additional times may be available upon request.

  • Capacity: 25 (room size: 20’ x 17’)

  • Amenities: 24 chairs, 12 x 6 ft tables, sink (no fridge)

  • Technology: access to public Wi-Fi; projector screen and digital projector and Meeting Owl Camera available upon request ($25 fee applies to each system at time of booking; HDMI cable only).

  • Parking: 3 hours free underground parking; pay for 1 additional hour (4 hours/day max)

  • Support: All technology is self-service. Support from staff is unavailable.

  • Set-up: Fees apply for set-up ($25) and takedown ($25), Monday to Friday only.

  • Rental rate:  

    • Profit: $30/hr (minimum 2 hours) to a max fee of $200​.

    • Non-profit: $15/hr (minimum 2 hours) to a max fee of $100.

Capilano Meeting Room

  • Availability: Hours vary. Please submit a booking request to check your preferred date and time. Bookings may be extended outside regular open hours upon special request. Parkade access may not be available outside regular open hours. 

  • Capacity: 60 (room size: 36’ x 24’)

  • Amenities: 60 chairs, 10 x 5’ tables, 2 x 24” round tables, podium, microwave, sink (no fridge)

  • Technology: access to public Wi-Fi; wall-mounted TV and speakers or ceiling-mounted projector and screen and Meeting Owl Camera available upon request ($25 fee applies to each system at time of booking; HDMI cable only).

  • Parking: Free underground & street parking available

  • Support: All technology is self-service. Support from staff is unavailable.

  • Set-up: Fees apply for set-up ($25) and takedown ($25), Monday to Friday only.

  • Rental rate:  

    • Profit: $45/hr (minimum 2 hours) to a max fee of $250.

    • Non-profit: $25/hr (minimum 2 hours) to a max fee of $150.

Parkgate Enid Dearing Room

  • Availability: Hours vary. Please submit a booking request to check your preferred date and time. Bookings may be extended outside regular open hours upon special request. 

  • Capacity: 30 (useable space: 27’ x 19’)

  • Amenities: 30 chairs, 7 tables (4 x 6 ft, 2 x 5 ft & 1 x small/narrow for A/V), sink (no fridge), flip chart, private washroom

  • Technology: access to public Wi-Fi; wall-mounted TV and speakers or ceiling-mounted projector and screen and Meeting Owl Camera available upon request ($25 fee applies to each system at time of booking; HDMI cable only); microphone ($10 extra)

  • Parking: Free outdoor parking

  • Support: All technology is self-service. Support from staff is unavailable.

  • Set-up: Fees apply for set-up ($25) and takedown ($25), Monday to Friday only.

  • Rental rate:  

    • Profit: $30/hr (minimum 2 hours) to a max fee of $200.

    • Non-profit: $15/hr (minimum 2 hours) to a max fee of $100.

Meeting Room Policy

All room bookings must follow the guidelines outlined in the Library’s Meeting Room Policy. Please read and review before your booking.

Food and Drink

Light snacks are welcome, but full meals, hot food, and takeout are not permitted. Food and drinks should always remain inside the room, and we recommend covered beverages to prevent spills. Recycling and garbage is available in the library and are self-serve. Additional charges may apply if extra cleaning is needed.

    All technology is self-service & instructions are provided in the room. Support from library staff is not available.

    Podiums, flipcharts, and other supplies may be available by location.

  • Groups can display a notice for their meeting or event on the day of the event. Advertisements for longer periods of time must follow NVDPL’s policy for posting “Community Information." The NVDPL logo cannot be used without approval from the Library. Advertising must not suggest the Library is endorsing or co-sponsoring your event. 

  • We love that you’re considering the Library for your celebration! Events must make sure they don’t disrupt the regular activities of the Library, so there are a few things to keep in mind when planning your event:  

    • Groups and all activities must remain inside the booked room. 

    • Loud music and noise that impacts the activities of the library are not allowed. 

    • The library cannot provide access to programming supplies or equipment. 

    • If you’d like to bring food, it must comply with the Library’s guidelines for food and beverages.  

    • Recycling and garbage is available in the library and are self-serve. Additional charges may apply if extra cleaning is needed. 

  • Yes, sales are permitted as long as: 

    • Sales stay within your meeting room. 

    • You don’t solicit or approach other library patrons outside your booked space. 

    • Sales must directly benefit the organization or author using the room. 

  • Yes! Recurring bookings are available for up to three months. If you’d like to book beyond that timeframe, we recommend a break of at least 1 month. Requests for recurring events will be reviewed and approved at the discretion of the Director of Library Services. 

  • All renters must carry liability insurance for a minimum of $5 million per occurrence and name the North Vancouver Recreation and Culture Commission, City of North Vancouver and District of North Vancouver as additional insured.  

    Insurance can be provided through the North Vancouver Recreation and Culture Commission or provided on your own. Premiums are based on factors such as type of activity, number of participants, length of activity, service of alcohol, etc.
